These Terms & Conditions govern your use of the services offered by VETERANS RAFTAR CARS PRIVATE LIMITED (the “Company”, “we”, “us”). By booking or using our services you agree to these Terms & Conditions. Please read them carefully. The Company reserves the right to modify these Terms & Conditions at any time; the most recent version posted on our website will apply. It is the user’s responsibility to review the terms regularly.

1. Governing Law and Jurisdiction

These Terms & Conditions are governed by the laws of India. Any disputes arising from or related to the services, bookings or these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Delhi.

2. Bookings & Confirmation

  • Bookings are confirmed only after receipt of the required advance payment and a booking confirmation from the Company.

  • Booking details communicated by email (including the booking email) form part of the contractual agreement. The total amount quoted is valid only for the locations and itinerary mentioned in the booking confirmation.

3. Rates, Taxes & Extra Charges

  • All rates are subject to availability and may change without prior notice.

  • Applicable taxes (including GST), tolls, parking charges and state taxes are payable by the hirer/guest unless expressly stated otherwise.

  • Any increase in fuel prices or other input costs may lead to rate adjustments.

  • Driver night charges, driver retention charges, parking and other operational charges are extra unless specifically included in the package.

4. Detention of Vehicle / Extension of Trip

  • If the customer detains the vehicle beyond the date, time or destination specified in the booking, extra charges will apply. For outstation bookings the minimum additional charge is calculated on a 250 km per day basis (subject to vehicle category).

  • When detaining a vehicle beyond the booked period, the customer must deposit the advance charge equivalent to 250 kms per day for each additional day prior to extending the trip.

  • The Company reserves the right to refuse any request for detention or extension.

5. Chauffeur Retention (Airport / Special Cases)

  • For airport bookings in Delhi (and other applicable locations where specified), if a chauffeur is retained beyond 10:00 PM, a chauffeur retention charge of INR 800 (Eight hundred) per night will apply unless otherwise agreed in writing.

  • Any additional driver allowances or night charges will be charged to the customer as applicable.

6. Pickups, Drops & Packages

  • Lump-sum / package rates apply to specified outstation and local tour packages only as stated in the booking confirmation.

  • Pickup and drop point will be one location each unless multiple pickups/drops are requested and confirmed in writing before payment. Additional pickups/drops may attract extra charges.

  • Parking charges are extra and payable by the hirer.

  • Tour destinations, routes or itineraries cannot be changed without prior written notice; amended routes may incur revised charges.

7. Time & Kilometres (KM) Policies

  • For outstation trips: time and kilometres are counted from our garage to garage, unless specified otherwise in the booking. Minimum charge for outstation trips is 250 kms per day (unless a different daily km slab is agreed). Toll, parking and state taxes are the hirer’s responsibility.

  • For Delhi local use: minimum booking is 8 hours and 80 kms. Additional time and kms beyond the package will be charged as per the applicable rate card.

  • Driver night charges apply after 10:00 PM (local rules may vary by location).

  • AC usage: AC may be limited or non-operational in certain hill areas or when the vehicle is stopped/parked — the Company will not be liable for AC performance in these situations.

8. Vehicle Condition, Breakdowns & Replacements

  • Customers should inspect the vehicle at the time of pickup and report any visible defects or issues to the Company by phone or email before starting the trip. Failure to report issues at the outset may limit claims later.

  • In case of mechanical breakdown, the Company will, where possible, provide a replacement vehicle of the same or similar category at no additional charge. The Company is not liable for delays, altered itineraries, or additional expenses arising from breakdowns, natural hazards, flight cancellations, political unrest, landslides, bad weather, road closures, or other force majeure events.

9. Conduct & Safety

  • Passengers must behave respectfully toward Company drivers and staff. Any abuse, threatening or unsafe behaviour that places the driver or vehicle at risk entitles the driver to refuse service and ask passengers to leave the vehicle immediately.

  • Smoking, consumption of alcohol or any illegal substances in the vehicle is strictly prohibited unless expressly allowed in advance. The hirer is responsible for any fines or penalties arising from misuse.

10. Payment Policy

  • Accepted payment methods include cash, credit/debit cards and bank transfers, and any other methods indicated on our website or booking confirmation.

  • A non-refundable advance of 25% of the booking amount is required at the time of reservation (unless otherwise agreed). This advance confirms and blocks the vehicle for the booking dates.

  • The remaining balance is to be paid at pickup to the driver or Company representative (hotel, airport, railway station or customer’s address) unless alternate arrangements have been confirmed in writing.

  • If an online payment is declined, customers must contact the Company at least 72 hours prior to departure to provide alternate payment instructions; failure to do so may result in cancellation. Some online payments may take 24–36 hours to reflect in our account — services will only be confirmed once funds are received.

11. Cancellation Policy

  • All cancellation requests must be made via the Company helpline or official email. Do not rely on drivers for cancellation confirmations.

  • Cancellation without prior notice may result in forfeiture of the entire advance amount.

  • Standard policy: 30% of the booking amount is non-refundable. No refunds or changes will be accepted at the last minute, on the day of tour start, or after the tour has started.

  • The Company will make reasonable efforts to waive or reduce cancellation charges in exceptional cases, but this is discretionary.

12. Liability & Insurance

  • Vehicles provided by the Company are insured as required by law. Insurance covers third-party liability as mandated; additional insurance options may be available and will be communicated at the time of booking.

  • The hirer is responsible for loss or damage to the vehicle caused by negligence, illegal activity, or breach of these Terms & Conditions. The Company’s liability for any loss or damage arising from the service is limited to the extent permitted by law.

  • The Company is not responsible for loss of personal belongings left in vehicles; customers should take care of their possessions.

13. Security Deposit & Damage

  • A security deposit or blocked amount may be required at pickup (method and amount will be specified in the booking). The deposit will be adjusted against any damage, traffic fines, toll penalties or excessive cleaning charges incurred during the rental. The balance (if any) will be returned after inspection and settlement.

14. Refunds

  • Refunds (where applicable) will be processed through the original mode of payment within a reasonable time after deduction of applicable cancellation or processing charges. Processing times depend on payment providers and banking channels.

15. Privacy & Data

  • Personal data collected during booking and service delivery is handled in accordance with our Privacy Policy available on the website. By using our services you consent to the collection and use of information as described in the Privacy Policy.

16. Force Majeure

  • The Company shall not be liable for delays or failure to perform its obligations where such delay or failure results from circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, civil commotion, government action, acts of God, roadblocks, or other unforeseen events.

17. Amendments

  • The Company reserves the right to change or amend these Terms & Conditions at any time. Any amendment will be effective from the date it is posted on the website.
